Working with Transactions

The Transactions page is the heart of your financial data. Every bank transaction you import — and every manual entry you create — lives here.

Viewing Transactions

Navigate to Transactions → View Transactions to see a paginated list of all transactions across all accounts.

Filtering

The filter bar at the top lets you narrow down transactions by:

  • Date range — Start and end date
  • Account — Filter to a specific bank or cash account
  • Category — Show only transactions in a particular category
  • Tags — Filter by one or more tags
  • Member — Show transactions assigned to a specific member
  • Amount range — Minimum and/or maximum amount
  • Direction — Inflow (credits) or Outflow (debits)
  • Description search — Free-text search across transaction descriptions
  • Has member — Only show transactions assigned (or not assigned) to a member
  • Has category — Only show categorised (or uncategorised) transactions
  • Has notes — Only show transactions with attached notes

Saved Filters

If you frequently use the same filter combination: 1. Set up your filters. 2. Click Save Filter. 3. Give it a name (e.g., "Uncategorised this month"). 4. Access your saved filters from Transactions → Saved Filters or from the filter dropdown.

Transaction Details

Click on any transaction to open its detail view. From here you can:

  • Change the category manually
  • Assign or change the member linked to this transaction
  • Add or remove tags
  • Attach documents (receipts, invoices, etc.)
  • Add notes to the transaction
  • Link to an event collection (assign the payment to a specific event)

Manual Entry

For Cash accounts, you can enter transactions manually: 1. Go to the Transactions page. 2. Click Manual Entry. 3. A spreadsheet-style interface appears where you can enter date, description, and amount for each row.

This is ideal for recording cash payments received at events.

Bulk Operations

Select multiple transactions using the checkboxes, then: - Bulk Update — Set the category, tags, or member for all selected transactions at once. - Bulk Delete — Remove selected transactions.

Splitting Transactions

If a single bank transaction actually represents multiple payments (e.g., a combined deposit), you can split it: 1. Open the transaction detail. 2. Click Split. 3. Enter the individual amounts and descriptions.

The original transaction is replaced by the split sub-transactions. You can unsplit to reverse this.

Inter-Account Transfers

If money moves between two of your own accounts (e.g., from cheque to savings), you should mark both transactions with a Transfer category. Circlevine will attempt to automatically link the corresponding debit and credit transactions across accounts.

Exporting

Click Export at the top of the Transactions page to download your filtered transactions as: - CSV — For spreadsheet analysis - PDF — For formal records
