The Member Portal

The Member Portal is a self-service area where your members can log in and view their own financial information — without having access to the full admin dashboard.

What Members Can See

Portal Dashboard

A summary view showing: - Their current balance (how much they owe or have in credit) - Their 10 most recent ledger entries - Outstanding events with remaining amounts to pay

My Ledger

A full history of all their ledger entries (charges, payments, adjustments) with a running balance. Members can filter by event to see payments related to a specific fee or event.

Membership Card

A digital membership card displaying: - Their name and membership details - A QR code that can be scanned by club managers at events for quick check-in

Communications

Any bulletins or announcements that have been sent to them. Members can see and read bulletins from within the portal.

Documents

Any documents from the Document Vault that have been marked as Portal Members visibility.

Inviting Members to the Portal

  1. Go to the Members page.
  2. Select the member(s) you want to invite.
  3. Click Invite to Portal (or use Bulk Invite for multiple members).
  4. Circlevine will:
  5. Create a user account for the member (if they do not already have one)
  6. Link the user account to their member profile
  7. Send them a password reset email so they can set their password and log in

Switching Views

If you are an admin who is also a member of the organisation: - From the admin dashboard, click Switch to Member View in the org selector dropdown to see what your members see. - From the portal, click Switch to Admin View to return to the full dashboard.

QR Scanner

Club managers can use the Scanner feature (accessible from the sidebar) to scan member QR codes at events. Scanning a code pulls up the member's profile and ledger instantly.
